• OpenAI: We send email data to OpenAI for AI processing of each email. As per the OpenAI data usage policies, OpenAI will not use data submitted by customers via their API to train or improve their models. Any data sent through the API will be retained for abuse and misuse monitoring purposes for a maximum of 30 days, after which it will be deleted (unless otherwise required by law).
• Anthropic: We send email data to Anthropic (AWS Bedrock) for AI processing of each email.
• PostHog: We use PostHog for product analytics.

Data Retention

We retain user data collected through the Gmail client app for as long as it is necessary to provide the service to you. This includes:

• AI-processed email metadata (e.g., subject lines and planned responses) stored temporarily for product functionality and user access.
• Analytics data collected through PostHog, retained for up to 24 months for performance and improvement analysis.

We periodically review and delete any data that is no longer required for our operations or legal obligations. Specific retention timelines include:

• Email metadata processed via OpenAI or Anthropic (AWS Bedrock) is retained for up to 30 days as per their data usage policies.
• Planned responses stored in our system are retained until the user deletes them or terminates their account.

Data Deletion

Users can request the deletion of their data at any time by contacting us at support@cleanmyinbox.com. Upon receiving a request:

1. We will verify the request to ensure it is from the account owner.
2. All user data associated with the account, including planned responses and analytics records, will be permanently deleted within 30 days of the request.

For data processed through third-party services (OpenAI or Anthropic), we will coordinate with these providers to ensure compliance with deletion requests within their stated timelines.

Data Security

We implement appropriate security measures to protect your information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
